Salary Range: $18.00 to $21.00/hour

Summary of Function
This position has primary responsibility for reporting from and managing the donor database. Tasks range from data entry to data extraction including processing of donations, thank you letters, tax receipts and reports. This position receives all inquiries from donors about their gifts. This position also shares administrative tasks with Executive Assistant including greeting visitors, answering KyUMH phones and doors. In addition, this position provides administrative support for the Development department for general clerical needs and works closely with the Finance Department for reporting and gift coding. The best candidate for this position would have experience with database management, data entry, have exemplary organizational skills and attention to detail. This position works collaboratively with other Development staff to ensure an excellent donor experience.
Job Specific Duties and Responsibilities
DATABASE MANAGEMENT: Serves as the donor record database expert and manager. Enters all data, including stakeholder information, donor gifts, and mailing list recipients with a high level of accuracy. Writes and updates database policies and procedures manual and assures that all data is entered according to procedure. Responsible for keeping database clean by removing duplicates and inaccurate information.
DONOR APPRECIATION/GIFT ENTRY: Assures daily that all gifts are collected daily from the post office and are then opened and tallied according policy/ procedure. Imports and processes online gifts. Enters all gifts into donor files and generates thank you letters for each gift. Responsible for seeing that all memorial/honor gift acknowledgements and thank you notes are mailed as quickly as possible after receipt. Maintains accurate records of all receipts to gifts and gift details to honor donor’s wishes and report to finance department and ultimately to auditors.
ADMINISTRATION: Responsible for assuring that office equipment is in working order. Primary responsibility for coordinating mail collection and sorting. Shares responsibility for answering phones and doors with the Executive Assistant. Responsible for ordering and maintaining office supplies for the agency.
REPORTING: Produces monthly reports to submit to the business office.
